Withdrawing of Materials
Withdrawing
of materials is the physical pulling of the materials from their location
within the library and the deletion of any bibliographic information related to
these materials from the library's database of materials. With the advent of
integrated library systems such as Endeavor's Voyager withdrawals have become
more problematic. This is due to the relationships between purchase orders and
invoices in the Acquisitions module and the actual bibliographic records in Cataloging.
Thus, a withdrawal is not always a withdrawal. It may simply be a suppression of
the bibliographic information in the Cataloging module as it is impossible to delete any
materials whose information is found on a purchase order and invoice.
- Open
up the Cataloging module.
- Open
up OCLC.
- Search
for the title being withdrawn in the Cataloging module.
- Search
for the title being withdrawn in OCLC using the OCLC control number.
- Delete
Kresge Library's EYR from the holdings of the title in OCLC. This is
done by using the command delh.
- In
Cataloging (Full withdrawal)
- Bring up the item record.
- Delete the item record.
- Bring up the holdings statement
(MFHD)
- Delete the holdings statement
(MFHD)
- Bring up the bibliographic record
- Delete the bibliographic record.
The
delete command is found under Record on the taskbar at the top of the screen
in
Voyager.
The
item is now fully deleted from the Cataloging module. It will no longer be
searchable in the Web Pac. Neither
will the item be searchable in Cataloging.
- In
Cataloging (Suppression of bibliographic information)
- Bring up the item record
- Delete the item record
- Bring up the holdings statement
(MFHD)
- Suppress the holdings statement
(MFHD)
- Bring up the bibliographic record
- Suppress the bibliographic
record.
Item
records cannot be suppressed only deleted. Thus, they must be deleted. To
suppress
an holdings statement or a bibliographic record, place a checkmark in the box
labeled, "Suppress from OPAC" found on the System tab.
***NOTE:
Suppressing the holdings statement but not the bibliographic record will
result in patrons seeing the message, in the OPAC, "Approval book awaiting
decision". Thus, when suppressing materials both the bibliographic
record and the holdings
statement MUST be suppressed.
- Process
for the actual material itself
- Remove the barcode
- Remove the spine label
- Remove the pocket and original
security tag
- Stamp the front and back cover with the withdrawn stamp
- Write in the date on the
withdrawn stamp and initial it
- Toss the
withdrawn material in the wastebasket.
- On a statistics sheet mark down the call number (for example, RA) which has been withdrawn.
