Reference Barcoding Procedure

Kresge Library's Access Department (Circulation) is conducting an inventory of library materials. A part of the inventory is the barcoding of the Reference collection. The following procedure is meant to assist staff as they barcode books within the Reference Collection.

  • Turn the laptop on.

    (Remember that a laptop battery only lasts approximately 2 hours)

  • Sign on to OPENNET.

    (Using one's personal logon and password)

  • Sign on to GrizzNet.

    (Using e-mail address and password)

  • Sign in to the Cataloging module.

    (Using one's Voyager logon and password)

  • Set the Item Type and Statistical Category.
    • Click on Options at the top of the screen in Voyager.
    • Click on Preferences.
    • Click on Item Defaults.
    • Set the Item Type to Non-Circulating.
    • Set the Statistical Category to Kresge Inventory 2005.

      ***NOTE***Since every person barcoding is using his/her own logon and password each person must do this step. The nice thing is that these preferences are permanent until they are changed. So a person barcoding can sign off and then sign in again and the preferences will still be there.

  • Take a group of books off the shelves and place them on the truck that is being used as a desk. (Each person barcoding may choose how they do this)
  • Place barcodes in the upper right hand corner of the back cover of the books.
  • Search for each book's record in Voyager by call number.
  • Bring up the book's record.
  • Click on the icon at the top of the screen that is labeled Get Hldgs.
  • Verify that the location in the 852 field is ref.
  • Click on the icon at the top of the screen that is labeled Get Items.

    This is helpful for two reasons:

    • There may actually be a barcode on an item record that does not appear on the book being barcoded. It needs to be deleted.
    • In the case of a multivolume set, which may already be partly barcoded, it is possible to see how part or volume numbers were entered on the item record.
  • Click on Create Items.
  • Fill in the barcode.
  • If the book is part of a multivolume set fill in the enum and chron fields with the appropriate information.

    ***NOTE***The spine label may not have any information indicating that the book is part of a multivolume set. However, we want this information included so that future spine labels can be printed correctly. It may be that the person barcoding will have to look for this information on the book's spine or title pages. Please make a reasonable judgment as to how much volume, year, or page number information to include on the item record.

  • Verify that the barcode has been entered correctly. (Voyager will literally allow the entry of anything in the barcode field.)
  • Verify that any volume, part, year or other information entered in the enum and chron fields is entered correctly.
  • Save the item record to the database.
  • Close the item record.

    ***NOTE***If the book is only one volume then close out of the book's record. If the book is part of a multivolume set then just close the item record. Another item record can be created for the multivolume set without doing the call number search over again.
