Instructions for processing books
Instructions:
- Making Labels:
- Make labels for all books on black cart.
- Turn on student computer, click on Spine Label icon on desktop (VgerSpin)
- Scan barcode
- Check information to be sure it is the same as is
written on the back side of title page.
- If anything differs from the verso page, delete that label and
set the book aside to show it to a cataloger.
- Always scan a whole sheet of labels if possible
before printing. For questions, ask any of the TS Staff.
- Labels for CD’s should come on a post-it-note the cataloger
has placed on the jewel case (the plastic CD/DVD case). To make labels
for compact discs do the same except as with books but be sure
C-DISC is on the line above the LC call number. If it is missing, show a cataloger.
- To make labels for DVD's you have to change the printer options. See
the attached sheet entitled: DVD settings - be sure to change the font to BOLD.
Covers will be made after label printing for the DVDs. Circulation puts the security labels on
DVD’s. The labels go on the paper insert NOT the outside of the case.
- Make pambinder labels by scanning the barcode, which will be on a separate card,
paperclipped to the front cover. Affix this barcode to the pambinder
later. Check the information to be sure all the necessary information is
on the spine label: call number, volume and copy number or year.
- Microfilms need a label (should be on a post-it note) and stamping
with small Oakland University stamp.
- VCR tapes have a barcode on the actual VCR tape case, scan to make a label.
The label is placed on the bottom of one of the skinny sides of the cover, cover with
a label protector. Stamp or write Oakland University in permanent
black or silver marker on the actual tape.
- Processing:
- Once a whole cart has had labels created, move the black cart over to the processing table.
- Peel one label at a time and place it near the bottom of the spine of the book. Trim the
label only if the book is too thin for the whole label to fit. If the book is
extremely thin, and you would not be able to read the label if it were on the spine,
place the label on the front left top corner of the book, but do not cover any information.
- Cover the label with the appropriate label protector. For cloth books use
the shiny 2 x 3 protectors. All others use whatever size is best
in the matte finish protector.
- All books should be stamped with the big Oakland University address stamp
on the inside left cover in the center.
- Stamp all page edges with the small Oakland University stamp (top, bottom, side) .
- Stamp all reference books with the REFERENCE stamp on the middle of the first page (which is
usually blank) and back inside cover by the barcode. Reference books have a yellow flag.
- For CDs place the spine label on the top left front cover of the insert for the CD or,
if there is no paper insert, on the outside of the plastic jewel case so it can
be seen when the jewel case is closed. Cut the one sided security tags in
half and place one piece inside the jewel case on the black plastic insert.
- For LPs/Records, spine labels should be placed on the top front left corner of the cardboard
cover. There should not be any extra words before the call number. Cover the new label
with a protector or tape. Some LP’s have accession numbers and some have LC call numbers.
- For all CDs, VCR tapes and DVDs write Oakland University in permanent
black or silver marker on the actual disc (s). Be sure each piece has some
form of Oakland University written or stamped on it. If the item has a booklet or
insert, be sure to stamp each piece.
- Security tag all items after the entire cart has been processed. Place the strip somewhere
inside the book using the tagging machine. Ask any TS staff member to show you. Use
single sided strips for CDs and loose leaf items only. Do not security tag the newspapers.
VCR tapes have their own special security tags. These tags are kept in a box under the tagging machine.
They are wider and are placed on the long edge of the tape (not the hinged side).
Circulation puts the security labels on DVDs.
- Move the black book cart over in front of the vacant staff desk to be counted. The appropriate staff
will be notified when carts are ready for statistics.
- If an item is placed on the processing table with a RUSH note, please process immediately
and take up to Circulation or give to the staff member requesting the RUSH.
- Watch out for Flags, which are placed on special books that are not regular Third Floor books.
These flags are colored and indicate to which special collection the books belong.
- LEAVE THE FLAGS IN THE BOOKS.

- Books which are Non-Circulating will be stamped “non-circulating”.
Stamp the front inside cover and under the barcode. These are the books, which need to be
stamped non-circulating.

- Music books with M3 call number
- Book Room books do not receive any processing. The cataloger types an acid free strip with
the book's call number and places the barcode on the back of the acid free strip. Give these Book Room
books, when found, to the Archives clerk.
- There are two collections that have flags but DO circulate. They are shelved behind
the Circulation Desk:
- Special Reserves-are NOT stamped non-circulating, and are processed same as third
floor books, with the addition of yellow tape above the label.
- Reference Reserve-add “Ref.Res.” to beginning of spine label.
- Withdrawn Books
- After the cataloger has withdrawn the barcode, the student must stamp over the
ownership stamp, if possible, with the withdrawn stamp.
- Write the date on the line of the stamp.
- Scribble out the call number spine label with a Sharpie.
- For the time being, place all books in the large cardboard boxes in the mail room for
recycling.
