Withdrawing Within the Context of the Inventory

This list of books is the final list of items that could not be accounted for during the inventory. They must be withdrawn from the catalog so that any statistical counts will be accurate. Their withdrawal will also clean up the library's OPAC database.

  • Open up the Cataloging module in Voyager.
  • Open up OCLC.
  • ***Note*** The list of books to withdraw is around 260 pages printed on front and back. The following procedures are built around withdrawing the books with as little typing as possible. They are also built around making it as easy as possible to bring up all sections of each book's record (bibliographic record, MFHD, and item record).
  • In Cataloging change the search in the search by box to call number. Click on the Browse radio button. In the box labeled search for type the base LC call number.

    Example: BF

    This will bring up the section of the call number index for the base LC call number BF.

  • Scroll down the index of LC call numbers until you find the call number on the list of the book that is to be withdrawn.

    Example: BF173.B3 1993

  • Double click on the call number. This will bring up the bibliographic record for the book.
  • Bring up the book's MFHD.
  • Bring up the item record for the book.

    Verify that the barcode on the item record is the same as the barcode on the list.

  • Delete the item record.
  • Delete the MFHD.

    ***NOTE*** BEFORE YOU DELETE THE BIBLIOGRAPHIC RECORD!

  • Copy and paste the OCLC control number in the 035 from the bibliographic record into the Command Line Search box in OCLC.
  • Bring up the book's record in OCLC.
  • Remove Kresge Library's holding symbol from the book's record in OCLC.
  • Delete the bibliographic record for the book (in Voyager).

Problems that have already arisen

  • There is a purchase order attached.

    This is a book that was ordered after Kresge Library migrated to Voyager. It is possible to delete the item record. It is not possible to delete the MFHD or bibliographic record. Please suppress BOTH the MFHD and the bibliographic record. On the MFHD please put a non-public note that explains why the record is suppressed.

    Example: $x Suppressed. Determined to be lost during inventory. (your initials) (the date)

    Please delete our holdings symbol from the book's record in OCLC.

  • The item is an analyt or a multi-volume set.

    Please verify what volumes we have on the shelves. Delete ONLY the volume that is lost. Correct the listing of volumes on the MFHD.

    ***NOTE*** DO NOT DELETE OUR HOLDINGS SYMBOL FROM THE BOOK'S OCLC RECORD.

  • The book is a copy.

    Delete only the item record and MFHD for the copy.
