Government Documents' Procedures

These are the procedures for cataloging all in-coming government documents for formats including microfiche, maps, compact discs, bound and unbound paper items.

Have a student process the shipping list by:

  1. Opening weekly boxes from Government Printing Office
  2. Verifying which items we select from the printed selection list
  3. Write or make label with Sudoc number for document or fiche
  4. Count
  5. Set aside for barcoding.
  6. When we receive the smart barcodes from Marcive, have student match barcodes with documents.
    1. Search Voyager by title or sudoc number for the record.
    2. Verify that the following fields match.
      1. The Government Document classification number (086)
      2. The title and statement of responsibility (245)
      3. The additional title entry if needed (246)
      4. The imprint, which consists of place, publisher, and year (260)
      5. The physical description (300)
        1. Pagination
        2. Illustrations
        3. Size
      6. The series (440 or 830)
    3. Verify the MFHD that Marcive created:
      1. In the 852
      2. 1st. indicator 3
      3. 2nd. indicator blank
      4. $b location code
      5. $h call number
    4. In the 866
      1. 1st. indicator 3
      2. 2nd. indicator blank
      3. $8 0 $a volume or part number; year in brackets
      4. Save the MFHD to the database
    5. Verify or create an item record (barcode) for paper or compact disc documents
      1. Place the barcode in the upper right hand corner of the front cover of the item or inside back cover.
      2. Bring up an empty item record screen if necessary.
      3. Fill in the barcode number
      4. Verify that the permanent location matches the location on the MFHD
      5. Save the item record to the database
  7. For microfiche, write the sudoc number on front left corner of fiche envelope. No item record is needed, as they are not barcoded.

These are the procedures for cataloging electronic government documents:

  1. Search and bring up the bib record in Voyager
    1. In BIB Record, the 949 should say edat
    2. In the 856 add to the end of the url $z Click here for access
    3. Save to the database
    4. Verify that the URL and/or PURL works (CTRL-K) titles should match
  2. Verify the MFHD: in the 852
    1. Delete any first indicator
    2. Second indicator is blank
    3. Location is edat
    4. There is no call number at $h. Delete if there is one
    5. Save to database.
  3. There are no item records for electronic records.
