Ordering and Cataloging Individual eBook Titles
- For titles selected through GOBI: GOBI (YBP) provides access to eBooks from a
number of vendors. Individual eBooks may be available from one or more vendors
(Springer, eBrary, NetLibrary, etc.); the librarian who selected the title should indicate from which vendor
to purchase the book. Kresge Library has contracts on file with YBP for NetLibrary, eBrary (Single User Option)
and Sage, although we can add additional contracts if needed. If an eBook is available only via NetLibrary
or eBrary, eBrary is the preferred option.
- Acquisitions will order the eBook through GOBI and, as with
print books, will create and suppress a dummy record for the title. On the
MFHD, Acquisitions will add a note in the 852 field, along with their initials,
indicating from which vendor (eBrary, NetLibrary, etc.) the book has been ordered.
- When the invoice for the eBook is paid, Acquisitions will print out a copy of the
Cataloging dummy record created for the title and give it to Cataloging.
Cataloging will subscribe to the title in Serials Solutions (see instructions
below). A MARC record for the title will be added to the OPAC when the monthly
Serials Solutions load is completed.
- For titles that are ordered outside of GOBI (e.g., directly from a publisher):
There may be instances when eBooks are ordered directly from a publisher;
for example, this may occur with encyclopedias and other major reference works
(these titles most likely will be given to Acquisitions by Shawn or Kris,
and may have been ordered already through a sales rep). However, the
process will remain the same:
- Acquisitions will create and suppress a dummy record for the title (as is done with other
electronic resources).
- When the invoice is paid, Acquisitions will print out a copy of the dummy cataloging
record that was created and give it to Cataloging, so that the title can be
subscribed to in Serials Solutions.

How to track one book from a book collection within Serials Solutions
In this example we’re adding Encyclopaedia Judaica from the Gale Virtual Reference Collection.
I’ve already done this example, but in the same way you would indicate that we own Native Shakespeare from the Ebrary
Perpetual Access Collection
- Log into Serials Solutions Client Center
- From blue bar at the top of the website, search for name of ebook: Encyclopaedia Judaica, click
green arrow.
- If title appears, click on blue title.
- Two entries come up with this example; both
are from Gale. Determine which collection your title is from; ours is Gale
Virtual Reference Collection. Click that link.
- You’ll notice that the Gale Virtual Reference Collection has 2499 titles, but we only
have one. First you want to indicate that we subscribe to the collection.
Click EDIT in the upper right hand corner.
- Change Status from NOT TRACKED to SUBSCRIBED using the drop down box. Click SAVE in
the upper right hand corner.
- On that same screen you’ll notice a line that says TITLE COVERAGE. First click
EDIT. Then click the box indicating we subscribe to only some of the titles.
Then click SAVE in the upper right hand corner.
- None of the 2499 titles are checked off as being subscribed. To check individual
titles we own, click on the blue highlighted 2499.
- Now you see a list of titles that are available from the GALE VIRTUAL REFERENCE
COLLECTION. At the top you’ll see FILTER BY. Change the dropdown box from
SUBSCRIPTION STATUS to TITLE BEGINS WITH.
- Input the title Encyclopaedia Judaica Click APPLY located to the far right.
- This title comes up as being NOT TRACKED. To change that, click on the highlighted
blue title.
- You’ll come to a screen with Encyclopaedia Judaica listed as the TITLE up top.
Click EDIT in the upper right hand corner.
- Change STATUS from NOT TRACKED to SUBSCRIBED using the dropdown arrow. Click SAVE in the upper right
hand corner.
- Click GALE VIRTUAL REFERENCE LIBRARY in the gray box in the upper left hand quadrant
of the page.
- Now you’ll see that Serials Solutions thinks we subscribe to 1 out of 2499 of the titles in the
GALE VIRTUAL REFERENCE LIBRARY. You’ve now added one title to our Serials
Solutions collection from a package of 2499.
