Bingham Videocassette Cataloging Procedure

  1. Open Voyager Cataloging.

  2. Open OCLC.

  3. Search the title in Voyager to see if we already have it. In most cases, we won't yet.

  4. Search the title in OCLC. An ISBN search is a good one to use, if possible.

  5. Select the title with VHS in the 538 field.

  6. Check the record. Compare the producer, director, writers, actors, etc. given on the record with the information on the cassette and its container.

  7. Check the dates given.

  8. Any edition information (special edition, anniversary edition, etc.) needs to appear in a 250 field.

  9. Compare the running time, sound information, color (color or black and white).

  10. Run the correct record into Voyager.

  11. The record needs to have the following: the 245 field needs to have delimiter h [videorecording] immediately following the title; a 520 summary field must be included; a 710 field crediting the company that actually produced the cassette must be included.

  12. A 024 field with a first indicator of 8 containing the 12 digit number under the UPC should be included if it is present.

  13. A 521 field with a first indicator of 8 given the MPAA rating of the movie should be included. If the movie is unrate, "Not rated" should be entered.

  14. A 546 field should be included with any foreign language and subtitled information, if necessary.

  15. A 586 field or fields should be included with any information about awards wond by the work.

  16. A 740 field with the first indictor 0 that reads "Bingham Historical Children's Book Collection" needs to be added.

  17. A 500 field indicating when the work was originally released or broadcast should be included and reflected in the 008 field. For example, you could have a cassette that was physically produced in 2001 of the movie Fantasia, which was released in 1940. The 500 note will show this information as "Originally released in 1940". The Internet Movie Database (www.imdb.com) can be a real help in determining these dates.

  18. The release date is also needed to assign the call number to the item. Call numbers work in the same manner as the regular Bingham books (date and first four letters of the title, articles exempted). The date comes from when the work was originally released or broadcast. The call number on the MFHD is placed in an 852 field with a first indicator of 8, delimiter b kbks, delimiter k, VIDEO delimiter h date, delimiter i first four letters of the title. If you have different copies of the same title, give the cassette that was first physically produced the regular Bingham call number and the second should receive a fifth letter in the title field to differentiate from the first. For example, if you had two different productions of Horton hears a Who, the call number of the first would be Year Hort and the second's would be Year Horto in order to differentiate them.

  19. For the item, scan a barcode and place it on the top of the cassette underneath the label. The item type is non-circulating and use the statistical category of Kresge Gift Book.

  20. Finally, write the call number out on a post-it note in this format and place it on the video's container:
    1. CHILD
    2. VIDEO
    3. 1988 (the date of release)
    4. Lady (the first four letters of the title)
