Monographic Cataloging

  1. Open up OCLC.
  2. Open up Voyager's Cataloging module.
  3. Search Voyager by title for the record, which is titled the same as the monograph in hand.
  4. Search OCLC for the title.
  5. Verify that the title of the record in OCLC matches the title of the record in Voyager.
  6. Match the monograph in hand to the information on the bibliographic record in OCLC.
  7. Verify that the following fields match.

    1. The main entry (100)
    2. The title and statement of responsibility (245)
    3. The edition statement if any (250)
    4. The imprint, which consists of place, publisher, and year (260)
    5. The physical description (300)

      1. Pagination
      2. Illustrations
      3. Size

    6. The series (440 or 830)
    7. The pagination of the bibliographic references (504)

  8. Confirm that the OCLC number on the OCLC record matches the OCLC number on the bibliographic record in Voyager (035).
  9. If everything matches add Kresge Library's holdings symbol to the record in OCLC.
  10. Finally export the bibliographic record from OCLC into Voyager.
  11. The record will import in to a work file. Open up the work file and then call the record up.
  12. Save the record to the Voyager database. This will overlay the existing record in Voyager.
  13. Miter the monograph on its title page.

    1. Two dots under the main entry (usually a 100 field with the author)
    2. One dot under the title (unless the title is the main entry (meaning there is no 100 field)
    3. Backwards L at the end of the title
    4. When mitering a title skip leading articles
    5. Turn the page and in the upper left hand corner write the call number.
    6. Example:

  14. Re-verify that the following fields match the monograph in hand.

    1. Main entry (100)
    2. The title and statement of responsibility (245)
    3. The edition statement if any (250)
    4. The imprint, which consists of place, publisher, and year (260)
    5. The physical description (300)

      1. Pagination
      2. Illustrations
      3. Size

    6. The series (440 or 490/830)
    7. The pagination of the bibliographic references (504)

    8. EXAMPLE:


  15. Verify that the fixed fields match with the monograph's information.

    1. Date
    2. Language
    3. Illustrated
    4. Contents (i.e. bibliography)
    5. Index
    6. Place

  16. Errors?
  17. Problems?
  18. Correct them
  19. Click on the System tab at the top of the bibliographic record.
  20. Click on the OK to export box. This has to do with the way in which we are now doing authorities.
  21. Save the bibliographic record when done adding or correcting it.
  22. Create a MFHD, when done with corrections or additions to the bibliographic record.

    1. In the 852

      1. 1st. indicator "0"
      2. 2nd. indicator "1"
      3. $b location code
      4. $h call number

      5. EXAMPLE:


    2. Save the MFHD to the database.

  23. Create an item record (barcode)

    1. Place the barcode in the upper right hand corner of the back cover of the monograph.
    2. Bring up an empty item record screen.
    3. Fill in the barcode number
    4. Verify that the permanent location matches the location on the MFHD
    5. Verify the copy numbers
    6. Verify the number of pieces
    7. Save the item record to the database.

  24. The book is now cataloged.
