DVD Cataloging
The film collection,
comprised of laser discs, digital videodiscs (DVDs), and videocassettes, was
moved from Varner Hall's Instructional Technology Center (ITC) in 2004. The
collection is housed in a room across from the Circulation Desk on the second
floor. The responsibility for cataloging these materials lies with Technical
Services' cataloging unit.
Procedure
- Open the
Cataloging module in Voyager.
- Open
Connexion.
- Remove
the plastic wrap, and any security materials from the DVD.
- Search
the title in Voyager.
- Search
the title in Connexion.
Most DVDs have ISBNs and this is
the easiest way to search a DVD. It is also possible to search by title,
production company name, and added entries.
- There are
usually multiple records in Connexion. To find the record for the DVD in
hand, verify the following:
- The
title in the 245 must match the title on the record and the DVD case.
- The
date on the record must match the date on the back of the DVD case at the
bottom (usually in fine print).
- The
record must have the word DVD in a 500 field.
- The
record must say videodisc in the 300 field.
- Match
the actors, actresses, producer, director, music person (if any) on the
record with the same information on the DVD case (usually found on the
back of the DVD case)
- Verify
that the production company (for example, Columbia Tristar) on the record
matches the production company on the DVD case (found on the back of the
case)
- Verify
the running time and whether or not the DVD is in b&w or color.
- If
this information matches export the record to Voyager and save it to the
database.
- If
there is a question about any information play the opening sequence and
the closing credits. Write down the information to compare with the
information on the record in Connexion.
- Correct the records in Voyager.
- There
will be a 500 field with DVD in it. Add the following to the field, after DVD
and separated by semicolons, if necessary.
- Dolby digital
- Surround sound
- Dual format
- NTSC region 1 coding (or region 2 coding)
- Miscellaneous other technical information listed on the DVD
case
- There
will be a 546 with language information. Add the following if necessary.
- Closed-captioned
- Foreign
language dialogue must be noted (called subtitles)
- There
will be 700 or 710 fields for the major actors/actresses, the production crew,
and the production company. Add 700 or 710 fields if necessary.
- Verify
that the 007 is coded for a DVD.

and white)

- If there is no 500 for any special features of the DVD, then add one if necessary.
- If
the DVD is a translation add a 246 with the title translated on it. It will
also need a 041 with the languages.
- The
511 lists the cast of the film. Add any as necessary.
- The
508 lists the production crew for the film. Add any as necessary.
- The
original production date needs to be added to the record in a 500 field if the
film is a re-issue.
- The
film rating appears in the 520.
- The 300 field needs to include the running time for the film, e.g. (ca. 120 min.)
- Once
all the corrections have been made, save the record to the database.
- Assign
an accession number to the DVD. Note: Verify the last accession number
used by checking the call number index in Voyager for DVDs. Search dvd-001 as a
browse search then scroll to the end of the index in order to learn the
last accession number used.
- Write the accession number on a post it note and place it in the upper right hand
corner of the DVD case.
- Put a barcode inside the DVD case.
- Create the MFHD for the DVD.
- Location itc,dvd
- Call Number DVD-accession number
- If the DVD is coded for region 2 please add the following note.
866 3 $z This DVD is coded for region 2. Please ask at Circulation Desk for assistance in accessing equipment that will play this DVD.
- Save the MFHD to the database.
- Create an item record for the DVD.
- Enter the barcode.
- Permanent location DVD video, KL
- Item Type Movie
- Pieces Count the paper items in the case and the
DVD (sometimes there are multiple DVDs)
- Save the item
record to the database.
