Bingham Historical Children's Book Collection Cataloging (Original donation)

 

The Bingham Collection, as it has come to be known, is a gift of Dr. Jane Bingham (retired from The School of Education and Human Services). The collection spans books, realia, posters, and journals. Originally pegged at around 4,000 items, the collection has now grown to over 7,000 items. It resides on the second floor north area of Kresge Library.

When the collection came to Kresge, several cataloging decisions were made. One decision was that there would be no records added to the library's database until the catalogers actually cataloged the books. A decision was made to create a new location "kbks" for the Bingham books. In a 740, the phrase "Bingham Historical Children's Book Collection" would be added to every bibliographic record. Finally, the call numbers would be constructed from the first year of publication of a book, the first four letters of the author's name, and the first four letters of a book's title. Constructing the call numbers in such a way would place the books in decade order.

Procedure:

  1. Open up OCLC.
  2. Search the book title in OCLC.
  3. Compare the bibliographic record in OCLC, with the actual book in hand.

    1. 100 - Author
    2. 245 - Title and statement of responsibility
    3. 250 - Edition statement
    4. 260 - Imprint
    5. 300 - Physical description (*Note*: Measure the book in hand to see if the sizes line up)

  4. If the bibliographic record and the actual book are reasonably similar, then add Kresge's holdings to the bibliographic record. Export the record to Voyager.
  5. In Voyager, add the bibliographic record to the database.
  6. Correct the bibliographic record to the most current national standards.
  7. Add the phrase, "Bingham Historical Children's Book Collection" to the bibliographic record.

  8. Create a MFHD. Make the following changes:
    1. In the 852, first indicator 8 and second indicator
    2. Location: kbks
    3. Create the call number
    4. Save the MFHD to the database

  9. Create an item record. Make the following changes:
    1. Add the barcode
    2. Permanent location: Bingham
    3. Item Type: Non-circulating
    4. Save the item record to the database.
